The Materials Manager oversees all aspects of supply chain operations for the surgery center, including procurement, inventory control, vendor management, and cost optimization. This role supports both Capital Orthopaedic Surgery Center and District Surgery Center as needed and requires expertise in ASC supply chain processes, SIS and ENVI systems, and a collaborative approach to ensure cost-effective, high-quality operations.
Key Responsibilities
· Manage ordering, receiving, stocking, and inventory control; maintain par levels; organize stockrooms; ensure safe storage of medical gases and chemicals.
· Utilize SIS and ENVI for procurement and reporting; maintain accurate records; process purchase orders within 24 hours; leverage barcode scanning and EDI ordering.
· Create and update surgical preference cards, support standardization and cost analysis initiatives.
· Negotiate pricing; manage vendor contracts; leverage GPO agreements; monitor vendor performance.
· Maintain supply costs within budget; implement cost-saving initiatives; conduct cost-benefit analyses; monitor KPIs.
· Ensure compliance with state and federal regulations; maintain documentation; participate in QAPI activities.
· Build relationships with staff and vendors; mentor materials staff; communicate supply updates.
· Support new service lines, facility openings, and enterprise standardization projects.
· Collaborate with clinical teams to ensure supply chain decisions align with patient care priorities and organizational values.
Qualifications
Education: High school diploma or GED required; Associate’s or Bachelor’s in Supply Chain, Healthcare Administration, or related field preferred.
Experience: 3–5 years in healthcare materials management; ASC experience required; multi-site supply chain experience desirable; SIS and ENVI proficiency required.
Skills and Competencies
· Advanced proficiency in SIS and ENVI systems; strong Microsoft Excel skills; knowledge of GPO contracts and ASC operations.
· Core competencies include attention to detail, problem-solving, communication, organizational skills, adaptability, and integrity.
Physical Requirements
- Ability to lift and move supplies up to 50 pounds regularly
- Prolonged periods of standing, walking, bending, reaching, and organizing inventory
- Ability to work in supply storage areas, sterile processing environments, and clinical areas
- Visual acuity for computer work, barcode scanning, and detailed record-keeping
- Manual dexterity for handling medical supplies and operating inventory management equipment
- Ability to travel between CSS facilities (estimated 10-20% travel) and work flexible hours as needed to support multiple locations
- Valid driver's license and reliable transportation for travel between facilities
Work Environment
- Ambulatory Surgery Center setting with fast-paced surgical operations
- Time-sensitive demands requiring flexibility and prioritization
- Interaction with clinical staff, physicians, vendors, and external partners
- Occasional exposure to sterilization areas, medical equipment, and cleaning agents
- Professional office and stockroom environments
- Multi-site support requiring occasional travel to other CSS facilities within the region
- Virtual collaboration with materials management colleagues across CSS network
