Job Description

The Supply Chain Operations Supervisor – Print and Bulk Mailing Project Manager oversees the daily execution of the University’s mail processing, bulk mailing, and fulfillment operations. This role provides hands-on supervision of staff and coordinates people, workflows, equipment, and tools and systems to ensure timely, accurate, and compliant mail services for campus departments and programs.

The Supervisor serves as the primary operational and point of contact with departments for mail processing services, including bulk mailings, communications mailings, and program fulfillment activities. This position focuses on operational execution, workforce coordination, service reliability, project data analytics, billing accuracy, and compliance, while escalating strategic, financial, or policy decisions as appropriate.

The Supervisor provides hands-on leadership to supply chain operations teams, drives continuous improvement, ensures regulatory and property-control compliance, and leverages modern supply chain technologies to optimize accuracy, service levels, and transparency. This position plays a key role in creating a streamlined, customer-focused, and technology-enabled supply chain experience for the campus community.

Position Salary Range

$50,000.00 - $57,000.00; DOE

Essential Duties

Operational Leadership & Workflow Management

  • Oversee and coordinate daily mail processing, bulk mailing, and fulfillment operations to ensure work is completed accurately and within established deadlines.
  • Direct the receipt, preparation, processing, and distribution of mail, including folding, inserting, sealing, addressing, sorting, metering, and dispatching mail and packages.
  • Support fulfillment activities for university programs and initiatives, including preparation and distribution of materials.
  • Supervise assigned staff, including a Lead, full-time staff, and student workers, by coordinating work assignments, monitoring workloads, providing coaching and guidance, and time reporting.
  • Develop staffing schedules and labor plans to align workforce coverage with operational demand and peak service periods.
  • Serve as the primary customer service representative and departmental liaison for mail processing operations.
  • Partner with campus departments to plan and execute mail projects and communicate service timelines and expectations.
  • Lead the effective use of mail processing equipment, software, and tracking systems to drive automation where possible.
  • Resolve customer inquiries, service issues, and operational concerns in a timely and professional manner.
  • Ensure accurate and timely billing to campus departments for mail processing and fulfillment services.
  • Maintains operational records and prepares routine reports to support service tracking and leadership review.
  • Ensures compliance with USPS regulations, university policies, and applicable mailing standards.
  • Promotes safe work practices and ensures adherence to established safety procedures.
  • Coordinates equipment servicing and vendor support to minimize operational disruptions.
  • Identifies opportunities to improve workflows, efficiency, accuracy, and customer experience.
  • Assists with documenting procedures and training staff on updated processes.
  • Supports special projects and operational initiatives as assigned

Knowledge, Skills and Abilities

  • Knowledge of supply chain, operations, warehouse functions, inventory control, and last-mile delivery practices.
  • Ability to promote changes in individual, institutional, and organizational behaviors to support continuous improvement and sustainability initiatives.
  • Proficiency and high technical acumen across supply chain systems, tracking technologies, data analytics, AI and reporting tools.
  • Understanding of asset management, supply routing, receiving workflows, and goods handling.
  • Strong leadership, team coaching and development, and coordination skills.
  • Excellent organizational, analytical, and problem-solving abilities.
  • Effective verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced operational environment.
  • Skill in establishing and maintaining effective working relationships across levels.
  • Demonstrated commitment to safety, accuracy, and high-quality service.

Desired Qualifications

  • Bachelor’s degree in Supply Chain, Data Analytics, Business Administration, or related field AND three (3) years of relevant experience, including two (2) years in a lead or supervisory capacity; OR
  • Experience in mail processing, bulk mailing, fulfillment, or supply chain operations.
  • Experience supporting high-volume, deadline-driven service environments.
  • Familiarity with USPS mailing standards or regulated operational environments.
  • Valid driver’s license.

Working Environment

  • Work performed in both warehouse and office settings.
  • Frequent standing, walking, bending, reaching, and lifting up to 50 pounds.
  • Exposure to outdoor weather conditions, dust, and warehouse environments including routine operational noise.
  • Must be able to adapt to changing priorities and maintain focus in a fast-paced environment.
  • Will be required to operate university vehicles or equipment for daily operations.
